Pricing, Fees and Payment Terms

2.1 Standard Pricing

Per-pound destruction is priced at $0.99 per pound with no minimum. Box pricing applies at a 10-box minimum: $15 per small box (10x12x15 inches) or $20 per banker’s box (10x15x24 inches). Off-site pickup adds a Transportation Fee starting at $129, zone-based on travel distance and mileage.

Quotes are valid for 30 days from the date issued unless otherwise specified. After 30 days, quotes are subject to re-pricing based on current rates.

2.4 Contract Pricing

Contract clients receive flat monthly pricing locked at signing. Contract terms run for the period stated in the contract document. Volume changes outside the contract terms may require contract amendment.

2.5 Pricing Changes

We may revise our standard pricing from time to time. Active contract clients are not subject to price changes during their contract term. Quote and per-event pricing reflects current rates at the time of service.

2.6 Payment Terms

Per-event clients pay at time of service. Accepted payment methods include cash, business check, credit card (Visa, MasterCard, American Express, Discover) and ACH transfer. Contract clients are invoiced monthly in arrears with net 15 day payment terms. Past-due balances accrue interest at 1.5 percent per month or the maximum permitted by Massachusetts law, whichever is lower. Returned check fees are $35 per occurrence. Repeated payment failures may result in service suspension. Suspended accounts may resume service after past-due balances are paid in full.

Service Performance and Customer Obligations

3.1 Chain of Custody

From the moment we accept your records (drop-off) or pick them up (off-site), we maintain documented chain of custody through destruction. Our process meets the standards under HIPAA, FACTA, GLBA, Massachusetts 201 CMR 17.00, SEC Rule 17a-4 and NIST 800-88 for media sanitization.

3.2 Certificate of Destruction

Every completed job produces a Certificate of Destruction documenting date, location, weight or count of material destroyed, destruction method, customer name and unique Certificate number. Hard copy and email versions are provided. Duplicate copies are available on request for 7 years post-destruction.

3.3 Recycling and Environmental Compliance

100 percent of shredded paper is delivered to a certified paper recycling facility. No shredded material is landfilled. Environmental compliance reporting is available on request for ESG, B-Corp or sustainability program documentation.

3.4 Access Requirements for Off-Site Pickup

Off-site pickup requires ground-floor access or elevator access to the room where boxes are staged. Our crew does not carry boxes up flights of stairs. Clients should pre-stage boxes within reach of our crew before the scheduled pickup time. Re-trips for inaccessible pickup are charged at the standard transportation rate.

3.5 Customer Obligations

You agree to:

• Provide accurate information when requesting quotes, scheduling service or signing contracts
• Confirm that records you submit for destruction are owned by or controlled by you and that you have authority to authorize their destruction
• Not include hazardous waste, biohazards, prescription medications, large metals, glass, batteries or other prohibited materials in shredding boxes
• Notify us in advance if your records contain CDs, DVDs, hard drives, USB drives, backup tapes or other non-paper media so we can quote and process appropriately
• Pay all invoiced amounts within the agreed payment terms
• Notify us promptly of any disputes, billing concerns or service issues within the dispute window stated in Section 4

Chargeback, Refund and Dispute Resolution Policy

4.1 Authorization to Charge

By providing a credit card, signing a contract, accepting a quote or otherwise authorizing payment, you warrant that you are an authorized cardholder or signer for the account presented. You authorize MyPaperShredding to charge the agreed amount including all per-job fees ($14.95 HIPAA fee + $19.95 Plant Environmental fee), per-pound or per-box pricing, transportation if applicable and any quoted handling fees. For contract clients, this authorization extends to recurring monthly invoicing for the contracted service period.

4.2 Pre-Service Cancellation

You may cancel any one-time service request without charge if you provide written notice (email to legal@neighborhoodparcel.com) at least 24 hours before the scheduled service time. Cancellations within 24 hours of scheduled pickup may incur a cancellation fee equal to the transportation fee. Drop-off appointments may be rescheduled without charge with any advance notice.

4.3 Post-Service Refunds

Once destruction is complete, the service has been rendered and is non-refundable except in cases of clear billing errors documented in writing. Billing disputes must be raised within 10 business days of the invoice date by emailing legal@neighborhoodparcel.com with: customer name, Certificate of Destruction number, invoice number and specific dispute reason. We will investigate and respond within 10 business days. Approved billing corrections will be processed by refund or invoice credit at our discretion.

4.4 Chargeback Policy

Chargebacks initiated against MyPaperShredding for completed services are a violation of these Terms. Once a Certificate of Destruction has been issued, the service is documented as rendered. Filing a chargeback against a completed service after destruction constitutes payment fraud and breach of contract. We will dispute all such chargebacks with full documentation including:

• Original quote and signed authorization
• Service record with date, time and customer signature
• Certificate of Destruction with unique Certificate number
• Communication records confirming service completion
• BAA on file (for HIPAA-covered jobs)

Customers who initiate improper chargebacks agree to pay all costs associated with disputing the chargeback including but not limited to administrative fees, processor fees ($35 per chargeback dispute), legal fees and collection costs. Improper chargebacks may also result in immediate account suspension, referral to collections, reporting to consumer credit bureaus and exclusion from future service.

4.5 Friendly Resolution First

Before any chargeback or legal action, both parties agree to attempt good-faith resolution through written communication to legal@neighborhoodparcel.com. We have a strong track record of resolving billing concerns when raised directly within the 10 business day dispute window stated above. Most disputes can be resolved within 10 business days when raised in writing.

4.6 Returned Payments and ACH Reversals

Returned check fees are $35 per occurrence. ACH transfer reversals incur a $35 reversal fee plus any bank-imposed processing charges. Repeated returned payments or ACH reversals may result in account suspension and conversion to prepayment-only status.

4.7 Dispute Resolution Procedure

For any dispute not resolved through Section 4.5 within 30 days: the parties agree to attempt mediation through a Massachusetts-licensed mediator before pursuing litigation. Mediation costs are split equally. If mediation fails, disputes are resolved per Section 7 (Governing Law and Jurisdiction).

Limitation of Liability and Warranties

5.1 Limitation of Liability

To the maximum extent permitted by Massachusetts law, MyPaperShredding’s total liability for any claim arising from or related to our services shall not exceed the amount paid by you for the specific service event giving rise to the claim. We are not liable for indirect, incidental, special, consequential or punitive damages, including loss of business, lost profits, lost data or business interruption, even if we have been advised of the possibility of such damages.

5.2 Records Retention Responsibility

Once records are destroyed, the destruction is irreversible. You bear sole responsibility for ensuring records are eligible for destruction and that any retention obligations have been satisfied before submitting records to us. We are not liable for the destruction of records that should have been retained under federal, state, contractual, regulatory or litigation hold obligations.

5.3 HIPAA Coverage

For HIPAA-covered services, our liability is governed by the executed Business Associate Agreement, which supplements and may modify the limitations stated in these Terms.

5.4 Warranties and Disclaimers

We warrant that we will perform the services with reasonable care and skill, in compliance with applicable Massachusetts and federal regulations governing document destruction.

EXCEPT AS EXPRESSLY STATED, OUR SERVICES AND WEBSITE ARE PROVIDED “AS IS” WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING ANY WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE OR NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE WEBSITE WILL BE ERROR-FREE OR UNINTERRUPTED.

5.5 Indemnification

You agree to indemnify and hold harmless MyPaperShredding, Neighborhood Parcel, our officers, directors, employees and agents from any claim, demand, loss, damage or expense arising from: your violation of these Terms, your violation of any law or regulation, or your submission of records that you did not have authority to destroy.

Cancellation, Rescheduling and Force Majeure

6.1 Cancellation and Rescheduling

One-time service appointments may be rescheduled or canceled at no charge if notice is provided at least 24 hours before the scheduled time. Cancellations within 24 hours of scheduled pickup may incur a cancellation fee equivalent to the transportation fee.

6.2 Contract Modifications

Contract clients may modify their scheduled cadence at any quarterly or annual checkpoint without penalty. Contract termination is governed by the specific contract document. Early termination of a contract before the contracted end date may incur an early termination fee as stated in your contract.

6.3 Force Majeure

We are not liable for delays or failures in performance caused by circumstances beyond our reasonable control, including acts of God, severe weather, fire, power failures, governmental actions, labor disputes, equipment failures or pandemic-related restrictions. We will make reasonable efforts to reschedule affected service promptly. Force majeure delays do not constitute a breach of contract or grounds for refund of completed service.

6.4 Service Suspension

We reserve the right to suspend service for: past-due balances, repeated payment failures, abuse of staff, hazardous material submissions, breach of these Terms or improper chargeback attempts. Suspended accounts may be reinstated after the underlying issue is cured and any outstanding balances are paid in full.

Legal Provisions and Contact Information

7.1 Intellectual Property

The content of mypapershredding.com, including text, graphics, logos, images, layouts and software, is the property of MyPaperShredding and Neighborhood Parcel and is protected by copyright and trademark laws. You may not reproduce, distribute, modify or create derivative works without our written permission.

7.2 Governing Law and Jurisdiction

These Terms are governed by the laws of the Commonwealth of Massachusetts, without regard to conflict of law principles. Any dispute arising from these Terms or our services shall be resolved exclusively in the state or federal courts located in Middlesex County, Massachusetts. You consent to the personal jurisdiction of those courts.

7.3 Severability

If any provision of these Terms is found unenforceable, the remaining provisions continue in full force and effect. Unenforceable provisions will be replaced with enforceable provisions that most closely match the intent of the original.

7.4 Changes to These Terms

We may revise these Terms from time to time. The “Last Updated” date at the top of this page reflects the most recent revision. Continued use of the website or services after changes are posted constitutes acceptance of the revised Terms. Active contract clients are notified by email of material changes.

7.5 Entire Agreement

These Terms, together with any signed quote or contract document, the Privacy Policy and the Business Associate Agreement (where applicable), constitute the entire agreement between you and MyPaperShredding. They supersede prior agreements and understandings on the same subject matter.
