Why a Local Vendor Fits Residential

Four reasons national chains fail residential customers

Residential is structurally a poor fit for national vendor economics. Here is why we ended up the default residential choice for metro Boston.

National Vendors Require Minimums

Shred-it, Cintas and Iron Mountain quote residential jobs with minimum service charges that often exceed the cost of the actual destruction. Do I need to remove staples, paper clips or rubber bands?

No. Our industrial cross-cut shredders handle staples, paper clips, rubber bands, manila folders and even small binder clips. Leave everything in place. The only items to remove before bringing documents are large 3-ring binders (the metal rings damage the equipment), spiral-bound notebooks (the wire) and laminated documents (cannot be effectively destroyed in paper shredders).

Is there a minimum charge for residential service?

Not at our drop-off facility. Bring one banker’s box (around $25) or fifty boxes (around $1,500), we destroy them at the same per-pound rate. Scheduled home pickup has a transportation fee that effectively creates a minimum, but the per-pound rate stays the same. National vendors typically have $125-$200 minimum service charges that price small residential jobs out; we built the residential model specifically to avoid that gap.

Can I watch my documents being destroyed?

Yes. Drop-off customers watch destruction at our facility’s viewing window at no extra charge. The witnessed destruction process takes 5-15 minutes depending on volume. This is one of the most common reasons residents choose drop-off over retail shredding: you see the destruction happen, walk out with the Certificate and have visual confirmation that the documents are gone. What’s a Certificate of Destruction and why does it matter for residential jobs?

A Certificate of Destruction documents that specific records were destroyed on a specific date by a specific operator at a specific facility. Most residential jobs do not legally require a Certificate, but several common situations benefit strongly from having one: estate executors document destruction for probate court, identity-theft victims document destruction date for FTC affidavits, divorce parties document destruction of joint financial records, and residents who experienced a corporate breach document their household-level cleanup. A standard banker’s box (10x12x15 inches) holds roughly 2,000-3,000 sheets of paper and weighs 25-30 pounds when full. That works out to about $25-$30 per box at our 99 cents per pound rate. Most residential jobs we run involve 1-15 banker’s boxes for tax purges, downsizing, identity theft cleanups and home office clearouts. Estate cleanouts often run 20-50 boxes.

How long should I keep tax records before shredding them?

The IRS general guideline is three years from the date you filed for most situations, but seven years is the practical retention window most accountants recommend. Specific exceptions extend longer: real estate records covering capital gains calculations may need 10+ years, business records may need permanent retention, and any tax matter under audit or litigation must be retained until resolution. I’m an estate executor. What documentation do I need?

For routine estate cleanouts where probate is straightforward, our standard notarized Certificate of Destruction is typically sufficient. The Certificate documents destruction date, facility, operator and approximate weight. For complex estates with disputed beneficiaries, ongoing tax matters or litigation, consult the estate attorney before destroying any records. The probate court may require records be preserved through the estate closing window. We do not provide legal advice; the Certificate provides documentation that the destruction event occurred under your direction.

Can I use a free community shredding event instead?

For under 5 boxes of household paperwork without a deadline, free community shredding events sponsored by banks, credit unions or libraries are a reasonable choice. The trade-offs are no Certificate of Destruction, limited capacity (typically 3-5 boxes per attendee), specific event dates and a lineup that runs 30+ minutes during peak hours. For anything larger, faster, regulated or requiring documentation, paid service is the practical path.
