Annual Document Purge
Hundreds of boxes. Filing cabinets full of archived records. A storage room your staff has been avoiding for years. We handle it all in a single visit with flat rates, no hidden fees and a notarized Certificate of Destruction issued the same day.
Why large-volume purges fail without the right service
A single box of old documents is manageable. But when your storage room has accumulated years of archived records, the problem changes entirely. Volume is the variable that breaks every DIY approach and most small-scale shredding services.
Boston-area businesses contact us after experiencing one of three common failure scenarios. Each one costs more time, money and compliance exposure than a professional purge would have.
The office shredder marathon
A standard office cross-cut shredder handles 8-12 sheets at a time and overheats after 15-20 minutes of continuous use. A storage room with 50 boxes of documents would require hundreds of hours of staff time, jammed machines and multiple replacements over multiple days. Staff bill at $25-80 per hour. The math never works.
The dumpster disposal risk
Renting a dumpster to dispose of old files might seem efficient. It puts your entire organization at legal and regulatory risk. Discarded documents in dumpsters are not protected. HIPAA, FACTA and Massachusetts data privacy law (M.G.L. c. 93H) all require documented destruction. A single dumpster dive by an identity thief can trigger a breach notification that costs tens of thousands of dollars.
The “we’ll do it later” cost
Archived documents that should have been purged years ago accumulate in storage rooms, off-site units and filing cabinets. Off-site storage in Greater Boston runs $2.50-4.00 per box per month. A 100-box archive costs $250-400 per month to store indefinitely. Three years of delay means $9,000-14,000 spent storing documents that should have been shredded and that represent ongoing identity theft and data breach exposure.
Eliminate storage costs. Regain your office space.
Storage fees are a silent drain. Most businesses do not track their document storage costs separately, so they never see the full financial impact of deferred purging. When we audit the situation with clients before a large purge job, the numbers are consistently sobering.
The average Greater Boston business that has deferred document purging for three or more years is paying between $300-600 per month in storage fees for documents that are past their legal retention period and eligible for destruction. That $3,600-7,200 per year is entirely avoidable.
Beyond the direct cost, archived documents consume office square footage. In Boston, commercial real estate averages $60-90 per square foot annually. A single 10×10 storage room dedicated to archived documents represents $6,000-9,000 of occupied space that could be repurposed for operations, client meetings or additional staff.
A single purge service at 99 cents per pound eliminates both costs permanently from that point forward and produces the documented chain of custody your compliance framework requires.

Every large-volume purge follows the same HIPAA Privacy Rule and Security Rule protocols we apply to medical records destruction. Chain of custody is documented from pickup through destruction. FACTA Disposal Rule requirements for financial records are met. GLBA Safeguards requirements for banking records are covered. Your certificate documents the compliance framework at the time of service.
Compliance certified100% recycled, zero landfill
Every pound of paper destroyed in your purge goes to a certified paper mill for fiber recovery. Nothing reaches a landfill. For organizations with ESG, sustainability or Massachusetts Waste Ban compliance requirements, we provide annual recycling tonnage summaries documenting your contribution to landfill diversion.
Zero landfillNotarized Certificate of Destruction
Every job produces a notarized Certificate of Destruction at no additional charge. The certificate documents the date of service, your organization’s name, the total weight processed and the method of destruction. It serves as your legal record for regulatory audits, insurance claims, compliance reviews and internal governance.
Audit-ready documentationNo prep work required
Do not spend hours removing staples, paper clips, binder clips or sorting documents before we arrive. Our industrial shredders handle all standard office fasteners without slowing down. Leave files in their folders, tabs and all. The only prep we ask: remove three-ring binder hardware from documents (the paper inside the binders is fine).
Arrive ready to workMy company had a large storage room full of boxes and medical documents that were due to be shredded. This was too much for our staff to handle and the boss asked me to find a medical shredding company in Newton MA, so I did a week’s worth of research and this company checked all the boxes. Their flat rates saved us a fortune and now we are discarding our office shredder and will be calling them every year to help us with the purge. Great service at a reasonable price.

Know what to keep before you shred
The most common question before a large purge is “are we allowed to destroy this?” The answer depends on the document type, the regulation that governs it and the industry you operate in. Destroying records too early creates legal and regulatory exposure. Keeping records past their retention period is unnecessary cost and risk.
The IRS recommends retaining tax records for a minimum of 3 years from the date filed and 7 years if you claimed a loss from a worthless security or bad debt deduction. State tax agencies may impose longer requirements. Massachusetts DOR generally mirrors federal IRS guidance but can request records up to 6 years back for examination purposes. The U.S. Department of Health and Human Services requires HIPAA-covered entities to retain documentation of their privacy policies and procedures for at least 6 years from the date of creation or last effective date.
Massachusetts state law adds its own layer. M.G.L. c. 93H requires organizations holding personal information about Massachusetts residents to maintain records disposal policies and procedures and to apply them consistently. A documented annual purge with a notarized Certificate of Destruction is the clearest evidence of a functioning disposal program.
Our team helps clients identify which documents in their archive are eligible for destruction before the service date. We do not make legal determinations on your behalf, but we provide practical guidance based on 25+ years of working with Greater Boston businesses through their annual purge cycles. If you have specific retention questions, your legal counsel or CPA is the authoritative source. When you are ready to destroy, we are your partner for execution.
